Overview

The vehicle service experience from start to finish

  • The start-to-finish process for maintaining, fueling, or repairing a university-owned vehicle at USF is handled through the USF Facilities Management Vehicle Maintenance Unit. The unit employs ASE-certified master technicians to service all university cars, trucks, vans, tractors, carts, boats, and turf equipment.

Step 1: Submit a Work Request Ticket

  • Routine Requests:
    • to access the Fleet360 service request ticket system or
    • Email vehiclemaintenance@usf.edu to request a service appointment (include your vehicle's asset number, if available).
  • Urgent Issues: If you need immediate assistance during regular business hours, call the Vehicle Maintenance Shop directly at 813-974-3639 or 813-339-0197.
  • After-Hours Emergencies: If the vehicle breaks down or requires an emergency tow on campus, contact the 24/7 Facilities Service Center dispatch line at (813) 974-2845.

Step 2: Drop Off or Mobile Service

  • Bring the vehicle to Fleet Services, located in the at 13334 USF Chestnut Drive.
  • For specialized on-campus utility equipment or stationary carts, technicians may coordinate on-site troubleshooting or arrange for towing.

Step 3: Service Execution & In-House Work

  • Technicians perform mechanical repairs, preventive maintenance, annual safety inspections, or custom welding and structural fabrication.
    • If the vehicle was involved in an on-the-job collision or property damage, the driver must promptly fill out the USF Vehicle Accident Report Form and route it to Environmental Health & Safety.

Step 4: Automated Departmental Billing

  • You do not need to submit paper invoices or pay out of pocket.
  • All maintenance parts, labor, and standard diagnostics are completely automated and billed directly to your individual departmental account code (CHARTFIELD).

Step 5: Routine Fueling (Ongoing Maintenance)

  • For ongoing operations, you can fuel university vehicles at the dedicated on-campus fueling station located in Lot 28, which supplies both unleaded gasoline and diesel.
  • To access the pumps, department personnel must possess a valid University staff ID and have an approved Gas Pump Authorization Form filed with the maintenance shop. Fuel costs are also automated and billed to your department monthly.
    • Annual Safety Inspections (ASI): These follow the same process as a repair or service ticket.
    • Post-delivery Inspections (PDI): This service is performed on all purchased vehicles once they are delivered.
