Diplomas
Once awarded, your diploma will be mailed via First Class U.S. Mail approximately six to eight weeks after final grades officially post for the degree term. This delivery date may be delayed due to University closure or official postal service interruptions. Upon the conferral of your degree, your diploma will be issued once any outstanding financial obligations or administrative holds have been resolved. To ensure the timely receipt of your diploma, we recommend addressing these matters prior to graduation. Please see to learn more about holds that prevent transcript release.
Diploma Name and Address Information
When submitting your graduation application in Student Self-Service, you selected your diploma name and address.
- Initials, Special Characters, Suffixes, Accents, or Punctuation: If your name includes special characters that cannot be captured, or to add a middle initial or middle name, suffixes, accents, or punctuations, or to update your diploma address send an email to graduation@usf.edu illustrating how you would like your name to appear on your diploma.
- Preferred Name: Pursuant to , you may enter a preferred/chosen name on the diploma instead of your legal name. If you are a foreign national student, International Services must pre-approve a Name Change Request before you complete the graduation application. It is recommended that your diploma name matches your legal name.
- Apostille or Notarized Diplomas: For international students who need an Apostille or notarized diploma, your full legal name must be used. This is necessary for future Third-Party verifications that may take place.
- Titles and Previous Degrees: Neither titles nor degrees previously earned will be included as part of a graduate鈥檚 name on a diploma.
- Post-Graduation Changes: If you elect to change your diploma name back to a legal name after graduation, you will be required to pay for a replacement diploma.
- Address Updates: If you need to update your diploma address, please complete the Diploma Address Change Request and send to graduation@usf.edu. The diploma address cannot be updated at Commencement.
- Plan Ahead: At any time before your diploma is printed, you may verify or update the name to be printed on your diploma and your diploma mailing address by viewing your submitted graduation application on your Student Self-Service account.
- Errors or Damaged Diplomas: If your diploma is printed incorrectly due to university error or it is damaged in route, you may return the incorrect or damaged diploma to the Office of the Registrar, or email an image to graduation@usf.edu, for one complimentary replacement.
Order a Replacement Diploma/eDiploma
Graduates whose records are cleared of financial liability holds may purchase a replacement diploma. The charge is $10 per request.
- Order a Replacement Diploma: You may purchase a replacement diploma by downloading and completing the Replacement Diploma Request and mailing this form with the required $10 fee per requested diploma to USF. Mail your completed form and check or money order to:

- Domestic Addresses: Allow 15 business days for delivery of your new diploma.
- International Addresses: Allow 30 business days for delivery of your new diploma.
- Order a Replacement Diploma (DPT, MD, MPAS, or PharmD): Graduates who received the DPT, MD, MPAS, or PharmD degree should email comregistrar@usf.edu to initiate a request for a replacement diploma and pay for a replacement diploma.
- Order an Official eDiploma: Your USF eDiploma is a signed and certified PDF of your original paper diploma used
for easy diploma verification purposes and is a one-time charge of $5. The eDiploma
is a high-resolution, color Adobe certified PDF files and are considered official,
legal electronic documents. You will receive your eDiploma within minutes of ordering.
You can then share your eDiploma as often as you need.
- Note: For an eDiploma only, a diploma order must first exist. Once you search and find your diploma or place a new diploma order, then your USF eDiploma will automatically become available. The eDiploma may be downloaded repeatedly without additional charges to the graduate or the University. However, currently any USF graduate may have an eDiploma at no cost to them.
- Diploma Status: Search the of your diploma order whether it is your original diploma or a replacement diploma. If you Graduated from Tampa on or after August 2009, or Sarasota Manatee on or after December 2009, or St. Petersburg on or after August 2019, then you may search for your diploma with your Student ID. You may access our diploma vendor via . Enter your Student ID number, your last name and select search My Diploma. If you do not know your Student ID or if you Graduated prior to the dates listed above, then you will need to request a Secure ID to order an eDiploma.
Order a Notarized Diploma
Option 1 - Purchase a new diploma to be notarized:
- Purchase a replacement diploma. Please note only diplomas with legal names may be notarized.
- Indicate that you are requesting that the diploma be notarized when you place your order.
- Allow 5-7 business days for us to process your request.
- If you provided a mailing address, your diploma will be mailed to you.
- If you chose to pick up your diploma, we will contact you and leave your diploma at the front counter for pickup.
Option 2 - Notarizing your original diploma:

Apostilled Diplomas
The official Apostille is not completed by the Office of the Registrar.
In today's global economy, many students choose to expand their life experience by taking jobs in their field of study outside of the United States after they graduate. Using the skills and knowledge they have acquired at USF, many of our students help others around the world. In most cases, before being approved to work overseas, a student will need to have their documents verified by a government agency in the United States by having an Apostille attached to the diploma or transcripts.
To have your diploma Apostilled, you will need to have your documents verified by a government agency in the United States. Students who wish to have an Apostille attached to a diploma must first have their original diploma notarized by the Office of the Registrar.
Note: We cannot send the diploma directly to the State because there is a cost associated with the Apostille process. Once you have the notarized diploma, you may proceed with the Apostille from the .
